Advisors:

They report to the President of the University, and their duties include:

  • Providing advice to the President and assisting him in monitoring the university's conditions.
  • Cooperating with the Director of the President's Office in managing the office's affairs.
  • Performing any other duties assigned by the President of the University.

 

Director of the University President's Office:

Reported to the University President, his role is to provide executive oversight of the University President's Office and associated administrative units, and to facilitate all procedures that help complete the work and achieve the office's objectives. His duties include:

  • Executive supervision of the office's operations and all associated units, both administratively and technically.
  • Monitoring the reception and organization of all incoming transactions to the office, directing their submission to the University President.
  • Sorting and reviewing transactions after they are received by the University President, ensuring the University President's review of them, and providing guidance and follow-up until they are referred to the relevant authority.
  • Distribute work to employees of the associated units according to their specializations.
  • Monitor the work of the associated units and ensure the quality and smooth running of work.
  • Develop the capabilities of employees in the associated units by nominating them for training courses.
  • Approve the performance charter for the office's employees and associated units.
  • Perform any other tasks assigned by the University President.

 

Administrations and affiliated units:

1- Secretariat

  • Follow up and manage all university activities related to the University President, in accordance with the directives of the Director of the University President's Office.
  • Follow up on the University President's directives regarding university activities, ensure continuity of work, and report such activities to relevant authorities for guidance.
  • Preparing and monitoring the agenda for all transactions, ensuring the smooth running of the business, and identifying any deficiencies in its performance for remediation.
  • Communicating and dealing directly with all parties in accordance with the directives of the Director of the University President's Office.
  • Maintaining and maintaining all files related to the office's work and presenting them upon request.
  • Drafting and printing letters and correspondence related to all the work of the University President's Office.
  • Receive and direct mail and all incoming correspondence related to office work.
  • Receive, direct, and send office emails.
  • Coordinate with internal and external entities within the university, each within their respective jurisdiction.
  • Perform any other tasks assigned by unit staff.

2- Confidential Office

  • Receives and follows up on confidential reports received and issued by the University President to university units.
  • Performs any tasks assigned to unit staff.
  • Reviews all administrative decisions and ensures their effective date.
  • Monitors costs for agencies, deanships, departments, and support services.
  • Completes appointment and contracting procedures by conducting the necessary security surveys for appointments and promotions.

3- Administrative Communications

  • Receives incoming and outgoing transactions, imports, exports, records, and archives them for follow-up and documentation.

4- Committees and Councils

  • Follows up on incoming and outgoing transactions of the university's various committees and councils.
  • Follows up on permanent and temporary committees, ensuring their validity and renewal, if necessary.
  • Performs any other tasks assigned to unit staff.

5- Follow-up

  • Follow up on transactions related to a specific date for response, both internal and external, and ensure that the response process is completed. Prepare periodic follow-up reports on the activities and achievements of the university's units, as well as observations and recommendations related to their development, and submit them to the university president.
  • Perform any other tasks assigned to the unit's staff.

6- Editing and Copying

  • Receive incoming paper, electronic, and fax correspondence from the University President and prepare them for the President's review. Prepare referrals, draft necessary letters, proofread all letters issued by the University President, and handle all administrative and financial affairs of the University President's Office.
  • Perform any other tasks assigned to the unit's staff.

7- Public Relations

  • Meeting with incoming visitors to the University President's Office, including parents, students, and visitors, and taking all necessary measures to address this issue, including communicating with relevant authorities as requested by each visitor, completing the information required, and presenting it to the University President for guidance as deemed appropriate.
